When you register, we collect your name, email, mailing address, and phone number.

To confirm eligibility, we may collect details regarding your Scandinavian heritage or connection as required by our Bylaws.

Transaction Data:

When you pay dues or book an event, our third-party payment processors (like Stripe) handle your credit card info. We do not store your full credit card details on our servers.

Activity Data:

We keep track of your event registrations and cabin bookings to manage club operations.

2. How We Use Your Information

We use your data to keep the Club running smoothly:

  • Club Operations: Processing memberships, managing cabin bookings, and organizing events.
  • Communication: Sending the newsletter, club announcements, and responding to your inquiries.
  • Security & 2FA: Sending transactional SMS/text messages for Two-Factor Authentication (2FA) codes and urgent booking alerts (e.g., weather closures at the Tahoe cabin).
  • Member Directory: If you choose to be listed, your name and contact info may be visible to other logged-in members. You can control your visibility settings in your account profile.

3. How We Protect Your Data

As a club managed by software professionals, we take security seriously:

Encryption:

We use industry-standard SSL/TLS encryption for all data transmitted between your browser and our servers.

Limited Access:

Your personal information is only accessible to a small number of Board members (like the Treasurer and Secretary) who need it to perform their duties.

No "Selling" Data:

We do not sell, trade, or rent your personal information to third parties. Ever.

4. SMS & Mobile Privacy

We maintain strict "SMS Isolation":

No Marketing:

Your mobile number is used strictly for transactional purposes (2FA and bookings).

No Sharing:

We do not share your mobile opt-in data with any third parties or affiliates for their marketing purposes.

5. Cookies & Technical Data

We use "cookies" (small files stored on your device) to make the website work:

Essential Cookies:

These keep you logged in as you move through the site.

Performance:

We use basic, privacy-respecting analytics to see which pages are popular so we can improve the site.

Access & Correction:

You can review and change your personal information at any time by logging into your account at ysc.org.

Do Not Track:

We honor "Do Not Track" signals from your browser.

Data Breach:

In the unlikely event of a data breach, we will notify all affected members via email within 7 business days.

8. Children's Privacy (COPPA)

Our website is intended for adults (18+). We do not knowingly collect information from children under the age of 13.

9. CAN-SPAM Act Compliance

We hate spam as much as you do. We agree to:

  • Not use false or misleading email subjects or addresses.
  • Include our physical mailing address in club-wide emails.
  • Provide an easy "unsubscribe" link at the bottom of our newsletters.
